What are Dynamic Alerting Options? Example Setup Users Limiting By Project Alerts Limitations Next Steps

      What are Dynamic Alerting Options?

Standard alerts notify a fixed set of recipients which are explicitly chosen when the alert is created. Any changes to the notifications list against the alert must be made by editing the alert manually. There are cases however where an asset changes projects and the recipients sitting against the existing alert are no longer interested in receiving updates. In these situations, it would be better to alert the “project” generally, and let recipients change as the asset's project changes. This is what dynamic alerting provides.

      Example

Excavator 244 is currently working on “Bridge” Project, which means that alerts on after-hour usage should go to Jeremy, as he is the operations manager for Bridge Project. After 5 weeks, Excavator 244 is no longer needed on “Bridge” Project, and is re-assigned to “Tunnel” Project. Because the after-hours alert was set up with dynamic alerts to all projects in the organization, when Excavator 244 detects that the excavator was turned on at 6pm on a Saturday, the notification goes instead to Luu from “Tunnel” Project, who knows that this is expected due to some emergency maintenance scheduled for the weekend. Jeremy never received the notification and can enjoy his daughter's saxophone recital in peace.

      Users

When creating or editing a user, options against the General tab now exist for subscribing project alerts or department alerts. To add a project or department to the list, click inside the input field and a dropdown will appear. Select a new project or department to add to the list before clicking the field (text or blank space) to re-open the dropdown to make an additional selection. Remove any selections with the x icon in from of each name. Ensure that the box for subscriptions is checked.

      Limiting By Project

Please note that this functionality is not the same as limiting access by project/department, and that the selections here do not have to match selections under the Asset Access tab. In fact, a user can receive alert notifications for a project or department that they are not allowed to access through TG, much in the same way as a non-user address-book entry would. If you want to limit access entirely please ensure that the Asset Access tab selections match selections for Dynamic Alert Notifications.

      Alerts

When creating an alert, there are three subtabs under the Notifications tab which relate to Dynamic Alert Notifications. They can be used instead of, or in conjunction with the Address Book entries. All other Alerts functionality remains the same.

      • Current Driver - the driver of the vehicle when alert conditions are met will receive a notification.

      • Department - selecting one or more departments from the list will cause the alert to check against the asset's department when alert conditions are met. If the asset's current department is in the list, then all users who have subscribed to alerts for that department will receive notifications. You can choose from e-mail, SMS, API, or Mobile App.

      • Project - selecting one or more departments from the list will cause the alert to check against the asset's department when alert conditions are met. If the asset's current department is in the list, then all users who have subscribed to alerts for that department will receive notifications. You can choose from e-mail, SMS, API, or Mobile App.

      Limitations

      • Currently, there is no way to automate adding newly created projects or departments to alerts. If you create a new project and want it to be reflected in your dynamic alerts you will need to edit the alert and add the project to the list of projects.

      • Currently, there is no way to specify individual roles within projects or departments (i.e. HSEQ manager for project X). We recommend using e-mail inbox rules for this functionality if required.
